Share an app and control access

Every app has its own access settings, managed from the Share dialog on the project page. Everyone signs in with their work account, so access always means specific, verified people — never the open internet.

Who can open the app

Under General access, pick one of three levels:

• Everyone at your workspace — any member can find it in the directory and open it.
• Anyone at your workspace with the link — hidden from the directory, but the link works for any signed-in member. Good for soft launches.
• Restricted — only you and the people you invite. This is the default for new apps.

None of these make an app public — even “with the link” still requires signing in to your workspace.

Invite specific people

You can also share an app with individuals by email, Google-Docs style. Each person gets one of two roles:

• Viewer — can open the app and comment.
• Editor — can also publish updates and manage sharing.

Invited people keep access even when the app is Restricted — that’s the point: Restricted plus a few invites is how you share work-in-progress with exactly the right people.

If you invite someone who isn’t in your workspace yet, they get a workspace invitation too, and their access activates when they join. Inviting someone outside your company’s email domain requires a workspace admin and the External guests setting.

Who can change these settings

The app’s owner, its editors, and workspace admins can change visibility and manage the invite list. Anyone can remove their own access to an app they’ve been invited to.
